6 months contract with a Local Authority
Job Summary:
• We are seeking a highly organised and detail-oriented Business Support Officer – Minute Taker to provide professional administrative support and accurate minute-taking services.
• This temporary position plays a critical role in documenting sensitive and legally significant meetings involving children and young people.
• The successful candidate will demonstrate exceptional listening, transcription, and time management skills, working in a fast-paced office environment to meet tight deadlines.
Key Duties/Accountabilities (Sample):
• Accurately transcribe and format meeting minutes as if written directly to the child, ensuring they are clear, concise, and child friendly.
• Type and process minutes from all meetings and upload them onto the Mosaic case management system.
• Ensure all minutes are factual, accurate, and completed within a 72-hour deadline, in accordance with internal procedures.
• Serve as the first point of contact for internal and external enquiries via telephone and email.
• Manage and maintain records and documentation, ensuring appropriate filing and data entry.
• Monitor shared inboxes and ensure timely responses or allocation to appropriate colleagues.
• Co-ordinate and schedule meetings, appointments, and events as required.
• Provide general administrative support to the wider Business Support Team.
Skills/Experience:
• Proven experience of working in a fast-paced office environment.
• Demonstrable experience in minute-taking during live meetings, with a strong focus on accuracy and confidentiality.
• Excellent QWERTY / touch typing skills are essential.
• Strong written and verbal communication abilities.
• Meticulous attention to detail with a commitment to maintaining high standards of work.
• Excellent organisational and time management skills, with the ability to meet strict deadlines.
• Previous use of systems such as Mosaic or similar case management systems (desirable).
• A calm and professional approach when handling sensitive and confidential information.
Additional Information:
• Location: On-site, Monday to Friday, at a dedicated children’s services office.
• Hours: Monday to Thursday 08:45–17:15, Friday 08:45–16:45 (1-hour unpaid break per day).
• Duration: Temporary role initially for 3 months, with potential for extension.
