Job description

6 Month Contract With A local Authority



Job Purpose:

To manage, coordinate, and monitor all transport services and employee allowances within the organization, ensuring efficiency, cost-effectiveness, compliance with internal policies, and alignment with statutory regulations.


Key Responsibilities:

  • Coordinate daily transportation operations for staff and assets, including vehicle allocation, scheduling, and route planning.

  • Oversee the maintenance, servicing, and documentation of the organization’s fleet.

  • Liaise with transport service providers and ensure contractual obligations are met.

  • Monitor and manage fuel usage, driver performance, and vehicle usage logs.

  • Ensure compliance with road safety regulations and internal transport policies.

  • Administer staff allowances such as travel, housing, meal, risk, and other statutory/non-statutory allowances.

  • Ensure allowance disbursements are timely, accurate, and comply with organizational policies.

  • Collaborate with Payroll and HR to ensure allowances are processed correctly.

  • Maintain up-to-date records of allowance structures, eligibility criteria, and payment history.

  • Maintain and update records related to vehicle use, driver performance, fuel consumption, and allowances.

  • Prepare and submit periodic reports on transport and allowances to management.

  • Support internal and external audits by providing relevant documentation and explanation.

  • Ensure adherence to all organizational and legal policies relating to transportation and compensation.

  • Manage relationships with third-party transport vendors and vehicle service providers.

  • Handle contract negotiations, renewals, and service-level agreements (SLAs).

  • Respond to employee inquiries related to transport and allowances in a timely and professional manner.


Requirements

  • 3–5 years of relevant experience in transport coordination and/or allowances administration.

  • Knowledge of HR, finance, or transport management systems is an advantage.

  • Familiarity with local tax and labor laws related to employee compensation is desirable.

  • Enhanced DBS is Required
